A Website-Native AI Assistant Supporting Student Journeys at Scale

One missed answer to a candidate’s question can delay an application — or stop it entirely. Over time, these small drop-offs compound into weaker cohorts and lower enrollment. Following their website redesign, Wittenborg University of Applied Sciences (WUAS) added an AI assistant for new applicants and current students. It answers questions about admissions, programs, and student life at the moment they are asked. Every response is grounded in official university information. This gives the institution a controlled, scalable way to support users across the student journey without compromising accuracy.

A multi-year collaboration that prepared WUAS for AI

AnyforSoft has been working with WUAS since 2023, supporting the evolution of the university’s digital platform. The collaboration began with a full-scale redesign and optimization of the WUAS website, built on Drupal.

That project delivered a foundation critical for the AI assistant:

The solution that works natively within the website

The AI assistant needed to operate as a natural part of the WUAS website. It had to fit existing content workflows, support fast implementation, and remain cost-efficient to develop and maintain.

Because the website and assistant run on the same Drupal platform, the system fits into existing editorial processes. No separate AI platform was required; we simply built out a new module that now provides a stable foundation for long-term maintenance and future expansion.

The assistant generates responses using a controlled knowledge base derived from WUAS website pages and documents. When content changes, answers update automatically. This keeps public information consistent and reduces follow-up questions.

Controlled and configurable AI behavior

The assistant responds only to WUAS-related topics and remains focused on official university information. When appropriate, it directs users to relevant pages, forms, or contact details. Administrators control tone of voice and which content the assistant can access.
